1. Who is responsible for this data

QuoteBack is operated by Jamal Deon Heflin. The service address is 175 Rosewalk Drive, Covington, Georgia 30016. For privacy questions, contact quotesback@polsia.app.

2. Information QuoteBack processes

• Account name, email address, authentication records, and session information used to sign in and protect the contractor workspace.
• Business profile details such as business name, phone number, service area, and optional website.
• Quote and customer details, including customer name, email, company, project, amount, dates, status, and line items.
• Follow-up sequence content and timing, recorded consent, delivery status, opt-out preferences, quote decisions, and customer replies or conversation history.
• Name, email address, and message content submitted through the support contact form.
• Subscription and billing status needed to show account billing features. Payment card details are entered in Stripe-hosted checkout and are not collected in QuoteBack forms.

3. How information is used

QuoteBack uses this information to authenticate accounts, save business and quote details, schedule and send follow-up emails when a contractor enables a sequence, stop follow-up after a reply, decision, or opt-out, show conversation history, respond to support requests, and provide subscription features. Inbound email or SMS reply content received by the product may be sent to the Polsia AI service for classification so it can be routed to the correct quote conversation. QuoteBack does not send outbound SMS follow-ups.

4. Service providers shown in the application

The application uses Polsia email services to send and receive email and route support submissions, the Polsia AI service to classify inbound replies, and Stripe-hosted checkout and customer-portal services for billing. These are the providers evidenced by the application’s current integrations; this list is not a confirmation of every infrastructure provider or subprocessor.

5. Cookies and browser storage

Essential authentication session cookies keep signed-in account features working. If analytics is enabled for a deployment, QuoteBack stores a random visitor identifier in browser local storage under polsia_vid and sends a page-view beacon with that identifier and the app’s analytics slug to Polsia. The application source makes this behavior conditional on a deployment setting; the setting and resulting analytics behavior for the current production deployment have not been verified. Choosing a light or dark appearance in the theme control also stores that preference in browser local storage.

6. Retention and privacy requests

The application saves account, profile, quote, follow-up, conversation, and support records in its database. The reviewed application does not expose a self-service account or customer-data deletion control, and its code does not establish a fixed retention period or backup-deletion schedule. You can submit a question or request through the contact form or email quotesback@polsia.app. The request verification process, handling steps, and response timing have not been confirmed; sending a request does not by itself confirm that data has been deleted.

7. Details requiring owner confirmation

The following privacy details could not be verified from the application code or an authoritative production review and must be confirmed before more specific promises are made:

• Whether production analytics is enabled, its exact events and storage behavior, and whether an analytics choice is required.
• The complete subprocessor list, data-processing locations, and any applicable transfer safeguards.
• Account, quote, customer, support, and billing retention periods; deletion handling; and the backup lifecycle.
• How privacy-request identity is verified, which requests can be fulfilled, and expected handling times.
• Supported jurisdictions, applicable individual rights, and required regional notices or choices.
